The International Hellenic University (IHU) is committed to protecting the rights and freedoms of individuals with respect to the processing of their personal data according to the General Regulation 679/2016.

The University keeps personal information of individuals, such as employees, students, graduates etc. This data should be processed only in accordance with the policy and terms applied by the IHU, which is responsible for determining the purposes for which the University holds and processes personal data.  Any violation of the privacy policy may cause the University, as a registered data controller, to be legally responsible for the consequences of the violation. This obligation may be extended to the person who processes the data and to the Head of the Department under certain circumstances.   

This policy applies regardless of where the data is stored. In the case of automatic data processing it applies to ownership of the equipment used if the processing is carried out for the purposes of the University.

In view of the fact that protection of individual privacy online is of vital importance for the future of internet based organizations and to the path to a real Internet economy, we have created this Privacy Notice to express our strong commitment to the rights of individuals with regard to protection and confidentiality of data. This Privacy Notice describes how we manage information that can be used for direct or indirect identification of an individual i.e. as Personal Data.

Α. GENERAL INFORMATION

Validity of this Privacy Notice. This Privacy Notice applies to the Personal Data you provide to the IHU or originate from personal data as described below. The use of any information collected by cookies or other web monitoring technologies is subject to the Notifications and options provided by the Cookies policy.

Data Controller. Data Controller for https://www.ihu.edu.gr  is IHU, 14th km National Road Thessaloniki-N.Moudania, Thermi. The data controller may vary depending on the case or purpose of data collection but in each case appears in the privacy statement of the person’s registration form.  

How does the IHU use my personal data? The IHU will process the Personal Data provided below only as defined in the Privacy Notice. More information can be found in Sections B and C below. Information on processing Personal Data by the IHU based on a legal license can be found in Section B below. Information on the processing of your Personal Data based on your consent can be found in Section C below.  

Duration of processing of Personal Data. The IHU processes and uses your Personal Data as permitted by law (see B below) or based on your consent (see C below). In this case, the IHU will store your Personal Data (i) only for as long as it is required for the purposes defined below or (ii) until you object with the use of your Personal Data by the IHU (in cases that the IHU has a legitimate interest to use your Personal Data) or (iii) until you withdraw your consent (in cases that you have given your consent to the IHU to use your Personal Data). However, whenever required as a legal obligation the IHU will keep your Personal Data for a longer period of time or whenever your Personal Data is required for the IHU to claim or defend itself against legal claims, your Personal Data will be kept until the end of the corresponding retention period or until such claims are settled.  

Disclosing Personal Data. As a general rule giving your consent and disclosing any Personal Data under this Notice is completely voluntary.  Mainly, there are no negative effects on you if you choose not to give your consent or decide not to disclose your Personal Data. However, there are cases in which the IHU will not be able to take action without certain Personal Data, such as those needed to process your orders or to give access to attending conferences, scientific events, for receiving public tender documents or for accessing and receiving the University newsletter as well as announcements and updates on upcoming events. Unfortunately, in such cases the IHU will not be able to provide you with the services required without having access to your Personal Data.  

Data subject’s rights. You may request, at any time, information from the IHU about your Personal Data as well as correction or deletion of your Personal Data. However, please note that the IHU may delete your Personal Data only if there is no legal obligation or if the IHU does not have the right to keep them.  Please note that if you request the IHU to delete your Personal Data, you will not be able to continue to use the IHU services that require the use of Personal Data.

If the IHU uses your Personal Data with your consent or to cooperate with you, you may request a copy of the Personal Data you have disclosed to the IHU. In this case please contact us through the following email address to specify the information or activities related to the request, the desirable format and whether the Personal Data will be sent to you or another recipient. The IHU will carefully examine your request and discuss with you about the best possible solution.

In addition, you may request the IHU to restrict the further processing of your Personal Data in any of the following cases: (i) you declare that your Personal Data held by the IHU are incorrect (but only for as long as the IHU needs to verify the accuracy of such Personal Data), (ii) there is no legal basis for the IHU to process your Personal Data and you are required to restrict the IHU from further processing your Personal Data, (iii) the IHU no longer requires your Personal Data but you claim that the IHU must maintain such data in order to claim or exercise legal rights or defend its rights against third party claims or (iv) if you have objected to the processing of your Personal Data by the IHU (based on the legal interest of the IHU as defined in B below) for as long as it is necessary to review whether the IHU has a more prevailing interest or legal obligation to process your Personal Data.

Right to lodge a complaint. If you believe that the IHU does not process your Personal Data according to the conditions defined in the present Notice or the applicable EU data protection law, you may at any time lodge a complaint with the EU Data Protection Authorities of the country that you reside or with the Hellenic Data Protection Authority. 

Use of this site by children. This website is not intended for people under 16 years of age. If you are under 16, you cannot register or use this site.

Links to external websites. This site may contain links to other external websites. The IHU is not responsible for the privacy practices of content of external websites. Therefore, we suggest that you read carefully the privacy notices of these external sites.

 

Β. HOW THE IHU USES YOUR PERSONAL DATA FOR LEGITIMATE PURPOSES

In the following cases, the IHU is authorized to process your personal data in accordance with the existing legislation on data protection:

If you study, attend a course or training, scientific events or seminars offered by the IHU, the IHU may monitor your progress so as to provide you this information. In addition, we communicate by email on a regular basis with users who subscribe to our services and we may also contact you by phone to deal with complaints or investigate suspicious transactions. We may use your email address to confirm the opening of your account, send you payment notifications, information about changes and other notices in accordance with the law. Users, in general, cannot opt out of communications that are not marketing related and are only required in the context of the relevant transaction. With regard to marketing communication (i.e. e-mails and telephone calls) the IHU will (i) provide you with the necessary information after opt-in, where legally required and (ii) will give you the opportunity to opt-out if you do not want to receive additional communication concerning promotional activities. You can opt out at any time by submitting a request at: https://e-services.ihu.edu.gr/node/886.

IHU’s legitimate interest. Each of the following uses constitutes a legitimate interest of the IHU to process and use your Personal Data. If you do not agree, you may object to the processing of your Personal Data by the IHU as defined below.  

Questionnaires and surveys. The IHU may invite you to participate in questionnaires and surveys. These questionnaires and surveys in general will be designed in such a way that Personal Data will not be required. However, if you submit Personal Data in a questionnaire or survey, the IHU may use them to improve its products and services.

Creation of anonymized data sets. The IHU may anonymize Personal Data provided under this Privacy Notice to create anonymous data sets that will be used to improve its services.

Recording calls and conversations for quality improvement purposes. In the case of phone calls or chat the IHU can record these calls (after informing you during the call and before the beginning of the recording) or chat sessions to improve the quality of its services.

The IHU may inform you, as permitted in accordance with the local legislation, about those services (including online webinars, seminars or events) that are similar or related to those you already use at the IHU.  Furthermore, if you have attended a programme of studies, webinar, life-long learning programme, seminar or event or paid for a service, the IHU may contact you for comments on improving the above services.

Right to Object. You have the right to object to the use of your Personal Data by the IHU at any time by submitting a request through the form at: https://e-services.ihu.edu.gr/node/886. By doing so, the IHU will stop using your Personal Data for the above purposes (i.e according to the legitimate interest specified above) and will delete it from its systems unless the IHU is authorized to use such Personal Data for other purposes defined in this Privacy Notice or if the IHU determines and demonstrates a legitimate interest in continuing to processing your Personal Data.  

 

C. HOW THE IHU USES YOU PERSONAL DATA ON THE BASIS OF YOUR CONSENT

In the following cases, the IHU will use your Personal Data, only as detailed below, and after giving your prior consent to the relevant processing operations. Thus, any information as regards processing operations of Personal Data, is linked to a statement of consent which you may access by submitting a request to: https://e-services.ihu.edu.gr/node/886.

News related to IHU services. Following your consent, the IHU may use your name, email and postal address, telephone number, job title and basic information about your employer (name, address and sector) as well as an interactive profile based on your prior communication with the IHU (participation in online seminars, lifelong learning programmes, events or use of the online services) to help you remain informed on the latest announcements as regards programmes and services, special offers and other information on IHU services (including newsletters for promotional purposes) as well as IHU events and in order to display relevant content on IHU websites.

User profile. The IHU gives you the chance to use its online offers, including forums, blogs and networks linked to the website, which requires you to sign up and create a user profile. User profiles provide the option to display personal information about you to other users, including the name, photo, social media accounts, postal and email address, phone number, personal interests and basic information about you. 

These profiles may be related to a single IHU online offer. However, it is always your own choice which of these additional online offers you will use and your Personal Data are only used for those you eventually gain access. Please note that without your consent to the IHU, for the creation of a user profile, the IHU will not be able to offer these services to you in those cases that your consent is a legitimate requirement for the provision of these services.

Special categories of Personal Data. In relation to enrolling and attending a programme of study, event or seminar or life-long learning programme, IHU may request information about your health with a view to raising awareness for people with disabilities or special needs during the event.  Any such use of information is on the basis of your consent.

Note that if you do not provide information on disabilities or special needs, the IHU will not be able to take the appropriate measures.

Event profile.  If you enroll in an IHU event, seminar or online seminar, IHU can share key participant information (your name, company and email address) with other event organizers and with other participants in the same event for purposes of communication and idea sharing. 

Withdrawal of consent.  You may at any time withdraw the consent you granted by submitting a request through the form at: https://e-services.ihu.edu.gr/node/886. In this case the IHU will no longer process any personal data subject to the consent unless legally required. In the event that the IHU is obliged to retain your Personal Data for legal reasons, your Personal Data will not be further processed and will only be retained for the period required by law. However, withdrawal does not affect prior processing of Personal Data by the IHU until the time of withdrawal. In addition, if the use of an IHU service/offer requires your prior consent, the IHU will no longer be able, after withdrawal of your consent, to provide you with the relevant service, offer or event.
